Effective: Upon Registration
These terms apply to lessons delivered by Vathos Music School (VMS). They are designed to be clear and fair to both students and the school, ensuring a stable teaching program.
1. Lesson Payments
Payment Due Date: Payments are due on the 1st of each month. Please ensure funds are available by this date to pay lessons in advance.
Payment Terms: Fees must be paid on or before the 1st day of the month for scheduled lessons. This helps maintain reliable scheduling.
Invoices: Sent on the 25th of each month with banking details for timely payment.
Annual Fee Structure: Student fees are calculated on an annual basis, taking into account the total number of lessons in your chosen package (including scheduled breaks for school holidays). The annual total is divided evenly across 12 months to determine the monthly fee
2. Missed & Cancelled Lessons
Teacher-Cancelled: If a teacher needs to cancel a lesson, VMS will take responsibility for arranging a suitable catch‑up lesson at a mutually convenient time.
Student-Cancelled: If a student cancels a scheduled lesson, the lesson will not be automatically replaced and no catch‑up lesson will be provided unless the cancellation meets the Rescheduling Policy below. To minimise lost lessons, we encourage you to choose a lesson time that reliably fits your schedule.
Rescheduling Policy: Requests should be made at least 48 hours in advance for guaranteed consideration. Missed lessons without proper notice are generally not rescheduled.
3. Public & School Holidays
Public Holidays: If a lesson falls on a public holiday, the teacher will arrange a catch‑up lesson wherever possible.
School Holidays: Lessons will not take place during school holidays and catch‑up lessons will not be arranged for these scheduled breaks.
Lesson Fees During Holidays: Monthly lesson fees remain unchanged during months that include school holidays. This is because fees are calculated annually and spread evenly over 12 months.
4. Contract Renewal & Termination
Agreement Updates: VMS will notify students in advance of any changes to this agreement.
Automatic Renewal: This agreement automatically renews on a monthly basis unless notice to terminate is given in accordance with the Termination Policy below.
Termination Policy: We require a two‑month written notice to terminate lessons. Notice should be given in writing (email or letter) to VMS.
Lessons will continue and fees will be charged for the two calendar months following the date notice is received. For example, notice given on 10 March means lessons continue (and fees are charged) for April and May, with the contract ending at the end of May.
If a student ceases attendance without providing the required two‑month notice, the student remains liable for fees for the two‑month notice period.
We aim to be reasonable and transparent in applying this policy; it helps VMS plan staffing and scheduling so we can continue offering high-quality lessons to all students.
Exceptions: VMS recognises that exceptional circumstances (serious illness, relocation, or other unforeseeable events) can occur. If such an event prevents a student from completing the notice period, please contact VMS as soon as possible and provide appropriate supporting documentation. VMS may, at its discretion, agree to shorten the notice period or offer a pro‑rata arrangement.
5. Non-Payment & Collection
If payment is not received by the due date, VMS reserves the right to suspend lessons until payment is made. We will always attempt to notify the student/guardian before suspending lessons.

By enrolling, you acknowledge reading and agreeing to these terms.
